Position Summary
A dynamic and growing company is seeking a detail-oriented Administrative Assistant Manager to lead daily office operations and support executive leadership. Ideal candidates will have hands-on experience opening new offices, managing logistics, and overseeing business insurance. This role is key to ensuring smooth operations, compliance, and a professional workplace environment.
Key Responsibilities
Oversee daily office operations to ensure a smooth and efficient workplace
Lead logistics for office openings, relocations, and expansions, including vendor coordination, lease management, and IT/telecom setup
Collaborate with the Vice President on business insurance renewals and serve as a primary contact for brokers and providers
Develop and maintain office policies, procedures, and compliance standards
Partner with executives to support company-wide initiatives and administrative needs
Manage contracts, vendor agreements, and office supply procurement
Oversee office facilities, security access, and space planning
Act as a liaison between departments, vendors, and external partners
Ensure compliance with company policies and legal requirements
Perform other duties as assigned
Qualifications
5+ years of office administration experience, including 2+ years in a senior or lead role
Japanese language proficiency (spoken, read, and written) is required
Proven track record in opening and managing office locations, including logistics and vendor coordination
Strong knowledge of business insurance policies, compliance, and claims handling
Excellent organizational, communication, and problem-solving skills
Proficient in Microsoft Office Suite; experience with office management tools preferred
Ability to handle confidential information with discretion
Strong interpersonal skills and experience working directly with executives
SALARY
USD 70,000-90,000 + Discretionary Bonus
LOCATION
Torrance, CA
WORK HOURS
Mon-Fri, 8:30AM-17:30
